- Packages may arrive at The W Hotel no sooner than three business days before the event date.
- Keep your planning manager updated on approximately how many packages you expect to have shipped in order to ensure appropriate storage space.
- There is no storage space for crates, pallets, or other over-sized shipments. Please contact your planning manager with any questions.
- When shipping multiple packages, please make sure to number in the following fashion: 1 of 3, 2 of 3, 3 of 3.

Call and mention you will be with the WSSA/BCAS Scientific Meeting to make reservations at the meeting room rate, or book your reservation online.
Payment Details
At the end of the registration form, you will be taken to the payment options page and where you will have the option to pay with a credit card or be invoiced. Selecting to be invoiced will allow you to reserve your space, but you will not need to process payment at the time of registration. An invoice with a 30 day payment deadline will be emailed to you within 24 hours. If you do not receive it, please also check your spam folder. Our W9 can be downloaded here.
All cancellations must be received in writing. Cancellations received one month before the date of the event will be provided a refund minus a $75 processing fee. If the cancellation is received between one month and two weeks before the event no refund will be provided, but the agreed upon exhibit table/sponsorship can be moved to another meeting within one year. Any price differences between meetings will apply. No refunds or accommodations will be made within two weeks of the event.
